Job Title: Part-Time Administrator
Location: Remote (in Canada)
Schedule: Monday – Friday, 2 hours per day between 8am and 4pm PST

Job Description:
We are seeking a proactive and organize Administrator to join our team on a part-time basis. the ideal candidate will support our Client Services/Operations Manager with a wide range of administrative and client care tasks aimed at facilitating smooth operations and excellent service delivery.

Key Responsibilities:

  • Handle new client inquiries and interact positively with funding agencies to implement contracts.
  • Assist with effective communication with both private and public school staff regarding tutoring arrangement.

Assessment and Onboarding:

  • Assist in proofreading and updating assessment summaries, ensuring proper distribution to clients and tutors.
  • Support the onboarding process for new clients and students, and match students with tutors based on needs and expertise.

Scheduling and Coordination:

  • Manage scheduling for over 30 tutors and 170+ students using Teachworks software and other scheduling software.
  • Coordinate substitute tutors ensuring alignment of skills and expertise with students needs.

Client Care and Support:

  • Assist in regular client check-ins, address concerns, and relay¬† positive feedback to tutors.
  • Schedule follow-up assessments and manage communication of outcomes.
  • Alert managers with relevant details when problems arise.

Administrative Support:

  • Utilize CRM for maintaining accurate records of clients and tutors.
  • Update website content, manage¬† tutor training platforms, and keep track of licensing needs.
  • Assist in the creation and management of automated workflows and maintain a Google map of all student and tutor locations.

Additional Responsibilities:

  • Keep track of necessary reports for agencies and ensure accurate invoicing and tutor compensation.
  • Oversee the dispatch of birthday emails and other client engagement activities.
  • Liaise between the client services manager and the marketing team to support agency marketing efforts.

We are looking for a candidate who possesses the following qualifications:

  • Excellent Communication Skills: Ability to communicate clearly and effectively in both written and verbal forms.
  • Organizational Abilities: Strong organizational skills with a keen attention to detail.
  • Technical Proficiency: Experience with CRM systems and scheduling software will be very beneficial. A typing speed of 50+ words per minute will be important.
  • Problem-Solving Skills: Aptitude for proactive problem solving.

Potential for Growth:
This part-time position offers the potential to gradually evolve into a half-time or full-time role with increased responsibilities, depending on the candidate’s skills, qualifications, and availability.
